A maintenance request created out on the floor is only useful if someone takes ownership of it. But the person entering it doesn't always know who to assign it to — and a task with no assignee shows up on nobody's agenda.
Default assignees address this case: you designate, once and for all, the colleagues or teams to assign, and every new task is automatically pre-filled with them at creation.
Setting up default assignees
- Open Network Settings.
- Go to the Task Settings section.
- Enable Enable default assignees when creating a task.
- Select the colleagues and/or teams to assign by default. You can combine several.
- Save. A message confirms the update.
If you enable the setting without designating anyone, a warning notifies you: the setting has no effect until at least one assignee is added.
What the user creating a task sees
The Assignees field on the creation form arrives pre-filled with the network's default assignees, along with the note "Pre-filled with your network's default assignees. Editable if needed."
The pre-fill is a suggestion, not a requirement: the user can remove or add assignees before saving. The note disappears as soon as they change the selection.
When the pre-fill does not apply
Three situations where the default assignees are deliberately set aside:
| Situation | Behavior |
|---|---|
| The task is created from a link that already carries assignees or teams | those assignees apply |
| The task is a duplicate of an existing task | the duplicated task's assignees are kept |
| The setting is disabled, or no assignee is configured | the task's creator is proposed, as before |
Turning off the setting
Switch the Enable default assignees when creating a task toggle back off. A confirmation message appears, with an Undo action available for a few seconds: it restores the selection you just turned off.
Your selection isn't lost when turned off — you can re-enable the setting later with the same assignees.
