This feature allows you to specify the spare parts needed for interventions generated by a maintenance plan. By defining the required parts and quantities in advance, teams can more easily prepare for interventions and anticipate stock needs for scheduled tasks.
Available for
- Roles: Administrator
- Plans: Premium, Advanced, Enterprise
Unlike individual tasks, tasks generated by a maintenance plan follow criteria and triggers defined within the plan itself.
To facilitate the preparation of these interventions, it is possible to specify the necessary spare parts directly in the maintenance plan. The defined parts and quantities will then be associated with the tasks generated by this plan.
An administrator can thus specify the spare parts needed for future interventions. This simplifies intervention preparation, as the person in charge of the task knows exactly which parts to prepare.
The spare parts to be prepared also feed the stockroom forecasts, over the period of your choice, up to three months. For more information, please see this article: How do I view the spare parts to be provided?
To understand what this field triggers, see the article What is the "Spare parts to be provided" field for?.
How to add spare parts to a plan?
The user can add spare parts to be provided when creating or modifying a maintenance plan. It is important to note that adding these parts is not mandatory.
Simply click the + button in the dedicated section and select the spare part by typing its name or item code.
If a spare part is selected in the Spare parts to be provided section, it is also necessary to specify the required quantity.
How to modify a spare part to be provided?
If the quantity of a spare part to be provided needs to be modified, the user can do so by clicking the pencil icon to the right of the part.
The field with the quantity to be provided will become editable.
Clicking the spare part opens it in a separate tab.
How to delete a spare part to be provided?
It is possible to delete a spare part from a plan.
To do this, simply click the red trash can icon. However, it is important to note that this modification will only apply to future, unfinished tasks. Validation of this action is required for it to take effect.
How to handle spare parts to be provided in the tasks of a maintenance plan?
An administrator or a technician can add or modify the spare parts planned in a task generated by a maintenance plan. For example, if a plan does not specify any spare parts, the administrator can add them for a specific task. Similarly, if the administrator wants to modify an already associated spare part for a task, they can do so directly from the task, just like in the case of an individual task. However, these changes will not affect the global maintenance plan or the other tasks in the plan; they will only apply to the specific task.
Important notes
- Any change to a plan's spare parts to be provided — adding, changing a quantity or deleting — applies to future, unfinished tasks.
- Completed tasks are never modified.
- The same part can only appear once in a plan: to add more, change its quantity.
Conclusion
Administrators can specify the spare parts needed for each intervention of a maintenance plan; administrators and technicians can then adjust them task by task.
The list of spare parts to be prepared is then created based on the tasks scheduled over the period you choose, up to three months. All spare parts to be prepared related to these tasks appear in the stock list to ensure smooth execution of the operations. This list is available in the spare parts search page by clicking on the Consult stock to be provided button.
