An import run twice, a record created again because the original could not be found… Duplicate equipment distorts the intervention history and your analytics.
Mobility Work does not detect duplicates automatically and does not offer an equipment merge. You find duplicates from the equipment search, then archive or delete each one.
Find duplicate equipment
- Open the equipment search from the Equipment menu.
- Search for the equipment name or item code. The search covers the name, the item code and the description.
- Switch to Exact mode (to the right of the search bar): only equipment that exactly matches the search term is displayed, which makes comparison easier.
- In the filters, enable Include archived to check whether a duplicate already exists in the archive.
- Open the records concerned and compare them: task history, maintenance plans, linked spare parts and equipment, documents.
👉 To handle many duplicates, add a temporary label to them (for example "duplicate to process") with bulk actions, then filter the search on that label.
Choose the record to keep
Keep the record that holds the history: completed tasks, maintenance plans, counter readings.
Tasks, plans and documents are not transferred from one equipment to another. If the record you remove contains useful items, recreate them on the record you keep before removing it.
Archive or delete the duplicate
Open the duplicate's record, click the three-dot button, then choose:
- Archive the equipment: preferred if the duplicate has already been used. Completed tasks remain available. Incomplete individual tasks are deleted, linked maintenance plans are archived and links to other equipment or spare parts are removed.
- Delete the equipment: only if the duplicate was created by mistake and has never been used. Deletion is permanent: all tasks (completed or not) and all associated maintenance plans are deleted and disappear from your analytics and expenses. The item code of the deleted equipment is freed immediately and can be reused.
⚠️ Deleted equipment cannot be recovered: there is no recycle bin and no restore option. If in doubt, archive the equipment instead of deleting it.
Only an administrator can archive or delete equipment. Unarchiving reactivates the equipment but does not restore deleted tasks or plans.
👉 Archived equipment keeps its item code: the code cannot be reused for another equipment as long as the archived equipment exists. Only deletion frees the code.
Prevent duplicates
- Always search for the equipment by name or item code before creating a new one.
- Give each equipment a unique item code. An item code already used by another equipment in your network is rejected. During an import, the same item code appearing twice in the file is reported as an error.
- For spare parts, support can enable a rule on your network that prevents the same item code from being used for two spare parts. This rule is enabled by default on networks created since September 2026. For an existing network, contact support: existing duplicates must be handled first.
- Adopt a common naming convention (type, reference, location).
