Delete or archive: what’s the difference?
- Deleting a piece of equipment permanently removes it from your network.
- Archiving a piece of equipment removes it from active use while keeping its history.
The choice mainly depends on whether or not you need to keep the data related to the equipment.
⚠️ Important note: Deleting a piece of equipment will delete all associated tasks and maintenance plans (MRPs). This information will then disappear from your analyses and history.
How to delete a piece of equipment?
Deleting a piece of equipment permanently removes it from your inventory.
Deletion steps
Access the equipment record
From the equipment menu, open the equipment you want to delete.
Open the actions menu
Click on the three-dot button on the equipment page.
Click on Delete equipment
Confirm the action to complete the deletion.
Effects of deletion
When deleting equipment:
- the equipment is removed from the system,
- all associated tasks are deleted (completed and uncompleted),
- all linked maintenance plans (MP) are deleted,
all historical data is permanently removed.
⚠️Warning: audit & financial impact
- Deleting an equipment means losing all associated traceability (interventions, costs, history).
- During an audit, deleted equipment may still be subject to review (equipment history, justification of past expenses, regulatory compliance).
- By deleting tasks, associated expenses also disappear from financial analyses. This may distort KPIs, cost history, or year-over-year comparisons.
👉Equipment that no longer exists in the system may still be requested and reviewed during an audit.
This option is recommended only when the equipment was created by mistake or must absolutely not appear in your database.
How to archive a piece of equipment?
Archiving is an alternative to deletion when you want to keep the equipment’s history.
Archiving steps
- Open the equipment record.
- Click on the three-dot button.
- Select Archive equipment.
Effects of archiving
When you archive a piece of equipment in Mobility Work:
- all unfinished tasks related to the equipment are deleted,
- associated maintenance plans are archived,
- links to other equipment or spare parts are removed,
- completed tasks remain available and can be consulted at any time.
Archiving helps keep your database clean while preserving the history of completed interventions.
