Access the spare parts search

To access spare parts search, you must go to the Spare Parts menu available in the left sidebar.

The spare parts search has several tabs:

  • The Network tab displays the spare parts of your network.
  • The Community tab displays the spare parts shared by the Mobility Work community.
  • The Group tab (if enabled for the network) displays the spare parts of the other networks in your group.

Search by keyword

Simply enter your search keywords in the dedicated search bar to display the list of corresponding spare parts. The search will be conducted on the following data:

  • spare part article code
  • spare part name
  • spare part description
  • spare part cost center

You will find the complete list of spare parts available in your network.

Fuzzy or Exact search mode (if enabled for your network): a toggle located to the right of the search bar lets you choose between two modes:

  • Fuzzy: tolerates typos and spelling variants;
  • Exact: only shows spare parts that precisely match the terms entered, useful for finding a part by its article code.

If you are an administrator, a banner at the top of the spare parts search reminds you of the spare parts needed for scheduled interventions, with a link to the Spare parts to be provided screen. What information about the spare part is displayed in the result?

The results are displayed as a table. You can sort the columns (for example the location or the unit price) and browse the result pages by choosing the number of rows per page.

Each result row displays the following information:

  • Spare part name (point 1 in the image below)
  • Description (point 2)
  • Article code (3)
  • Associated labels (4)
  • Spare part stock (6)
  • Cost center (7)
  • Location (8)
  • Unit price (9)

A small calendar symbol indicates if a maintenance plan is available for the spare part (5).

The following actions are available on each result row:

  • The "+" symbol (10) lets you create a task for the spare part (non-archived part).
  • The QR code button (11) displays the QR code of the spare part.
  • The last button on the right (12) lets you inventory or restock the spare part with one click from the search page. This action is reserved for administrators.

If custom fields are enabled in your network’s search, they are also displayed in the result, with priority given to those that match your search.

What filters are available for my spare parts search?

You can refine your spare parts search with the following filters (the numbers refer to the image below):

  • Maintenance plan: you can search among all spare parts, or display only those that have a maintenance plan or those that do not (points 1, 2 and 3).
  • Cost centers: you can select one or more cost centers to display only the spare parts linked to them (point 4).
  • Labels: you can select one or more labels associated with the spare parts (point 5).
  • Excluded labels: you can hide the spare parts that carry certain labels (point 6). With the Or operator, spare parts that carry at least one of the excluded labels are hidden. With the And operator (default), only the spare parts that carry all the excluded labels at once are hidden.
  • Task labels: you can filter the spare parts by the labels of the tasks associated with these parts (point 7).
  • Location: you can choose a location (point 8). The filter covers all the stock locations of the spare part.
  • Quantity and price: you can enter a minimum (9) or maximum (10) quantity and a minimum (11) or maximum (12) price per part.
  • The Stock is below minimum threshold filter lets you view only the spare parts whose stock is below the defined minimum stock (13).
  • Archived: if you are an administrator, you can choose to include only active spare parts in your search or also archived parts (14).
