Comments feature on Spare Parts Pages (BETA)
Our new commenting feature on the spare parts pages is designed to improve communication and collaboration among administrators, technicians, and production team members. This guide will walk you through the functionality, rules, and best practices for using the commenting feature effectively.
Commenting on Spare Parts Pages
You can add comments directly on the spare parts pages to provide updates, ask questions, or share information relevant to the spare part.
Mentioning Team Members
To notify specific team members, use the "@" symbol followed by their name (e.g., `@JohnDoe`). As you start typing after the "@", a list of matching team members will appear or you can make use of the button "Mention a colleague". You must select the correct person from this list to successfully mention them. If no match is found, a message will be displayed stating, "User not found."
Replying to Comments and Replies
Each main comment and each reply has a "Reply" button. This allows you to directly join the conversation, whether responding to a main comment or to a reply. To maintain a clear and simple structure, discussions are limited to two levels:
- The main comment.
- The replies associated with this comment.
Functionality:
- If you reply to a main comment using the "Reply" button, your reply will appear at the top of the list of replies.
- If you reply to an existing reply, your reply will follow the same behavior and will also be placed at the top of the replies list under the main comment.
- The most recent reply will always be displayed at the top of the replies list, ensuring that the latest information is always easy to access.
This approach ensures that all replies remain accessible and well-organized, promoting simple and efficient discussions.
Editing and Deleting Comments or Replies
Only the original author of a comment or reply can edit its content. This allows users to correct errors or add additional information as needed.
Users can delete their own comments or replies. When a comment or reply is deleted, a message will be displayed in its place, stating: "The comment was deleted by [author's name] [how long ago]", while keeping the position of the deleted comment or reply in the discussion.
This ensures that the continuity of discussions is maintained, even if a comment or reply has been deleted.
Place your mouse over ‘how long ago’ to see the exact date.
Order of Comments and Replies
Newest First: To ensure that you always see the latest updates, comments and replies are displayed in descending order, with the most recent at the top.
Notifications
Mention Notifications: Whenever someone mentions you in a comment (using `@YourName`), you will receive a notification. This notification will include a clickable icon that directs you to the specific comment where you were mentioned.
Reply Notifications: If someone replies to your comment, you will also receive a notification. This helps ensure that you are always aware of ongoing discussions related to your comments.
For example, if the administrator posts a comment and technician A replies, the administrator will receive a notification. On the other hand, if technician B replies to technician A, only technician A will receive a notification; the administrator will not be notified.
In other words, the reply notification is sent only to the person to whom we click on “reply”.
Our commenting feature is designed to foster collaboration and ensure that all team members are kept in the loop on spare parts discussions. By following these guidelines, you can make the most of this feature and help maintain a well-organized and informative spare parts page.

Search for tasks by time slot
From now on you have the option to search for tasks in a certain planning schedule.
When searching for tasks at a specific time, for example, from 4 AM to 8 AM on a particular day, the results will display only those tasks scheduled during that period as well as any tasks scheduled for the entire day.
Search for activities by time slot
You can now search for activities carried out at a specific time.
For example, when you search for activities carried out between 3pm and 3.30pm, you will only see activities carried out in this time slot.

API for getting tasks
You can now make queries for all your tasks with numerous parameters using our API task search .
The aim is to be able to ask numerous questions ( similar to SQL queries) about a given entity (equipment, spare part, tasks.) in order to :
- Create dashboards
- Launch alerts
- Integrate this data into another application
- Others

Some users manage several networks and could not identify the network concerned by the SFTP report mail. From now on, in each SFTP report email, the name of the network is included in the title.

We've added the list (and quantities) of spare parts to be provided by a task for its associated WebHooks.

QR Codes
Link external QR codes to equipment or spare parts!
To be able to use and associate customer QR-Codes (rather than MW QR-Codes) on the mobile application to search for equipment or spare parts.
So you no longer need to print out our Mobility Work QR Codes and stick them on all their equipment and spare parts if they already have a repository in place.
Spare parts to be provided
GOOD NEWS! You can save time by consulting the list of upcoming spare parts to be provided. The list can be accessed from the "Spare parts" menu, then the "Consult stock to be expected" button.
It allows you to better prepare your upcoming tasks over the next two weeks, and save time in the process!
Spare Parts Stock
Stock valuation is (finally) available! You can consult your valuation in the dashboard under the "spare parts" tab. This valuation takes into account the latest updated prices.
Checklist
When you print a task with a checklist, you can now view the checklist description and the descriptions of the checklist steps in the PDF.
Activities
In response to a number of requests from our customers, We have added the option of adding one or more participants to the mobile application when entering activities. The rules are the same as those for the web application.
Webhook
To simplify integration between Mobility Work and our customers' systems (ERP, among others), we have added the NetworkID to all WebHooks.

Spare part was consumed: Add the equipment cost centre linked to spare part consumption.
This allows you to automate the consumption of spare parts by cost centre on the customer's IT side.
With our vision of enabling our customers to use THEIR reference system instead of OUR reference system, we have taken the opportunity to add the item code of the equipment.
Tasks Download
For task downloads in CSV and XLS format, the task creation date column has been added.
- The new column has been added at the end (after the existing columns): we're going to keep the columns in strict order so as not to disrupt our customers' potential integrations.

Maintenance plan
When a maintenance plan was rescheduled, it was archived and replaced by a new maintenance plan.
This meant that you lost the "chain of custody" for your maintenance. You can now replan a maintenance plan while keeping it.

Inventory is now available in your application! You can now carry out inventories on your spare parts based on the actual value in stock.You will find this modification in the “stock” tab of your spare part.

The search has changed! You can now search for equipment by item code. You’ll need to enter the full article code in the search bar to find your equipment or spare part.
QR Codes
We’ve improved our QR Codes by customising the print format. You can print a QR Code in portrait or
landscape format, depending on how you use it.
News
Save time with the addition of a ‘dot’ showing the number of labels selected in the news filter. You no longer need to click on the filter to see the number of labels selected.

Maintenance Plan
On-task completion maintenance
Welcome to our new trigger: on-task completion maintenance.
On-Task Completion Maintenance allows you to schedule maintenance based not on a fixed calendar date, but when the last maintenance task was actually completed. This means that each maintenance cycle starts when the previous task is completed, ensuring optimum and continuous coverage, and avoiding over-maintenance in the event of delays or extended maintenance tasks.
Maintenance Plan Filters
In order to offer a better filtering ability, it is now also possible to filter by ‘Cost Centre’ in the maintenance plans tab.
Improvement of the user experience
From now on, when you click on a link directing you to Mobility Work, you will have direct access to the page concerned (rather than a redirect to the home page).
Network Preferences
We have enhanced the account deletion request by adding a new step which will ask you to enter the word “DELETE” to delete your account.

Agenda
Improved visibility and navigability. When the user scrolls vertically in the diary or schedule, the date header is always visible. When the user scrolls vertically, the list of users are always visible. Added space between each line to make the lines for each colleague more visible (when there are a lot of tasks).
Scheduler
In the equipment selector of the scheduler, it is now possible to scroll without result limit on the equipment filter in the scheduling.
Scheduler - Month
The annual scheduler is no longer blocked at the end of the current month, but ‘extended’ by 15 days the following month.
New user
When a new user is added to a network by a network admin, the new user should receive an email with a new password, no matter how many times the invitation has been issued. This makes it possible to issue an invitation several times.
Equipment / Spare parts
To make it easier to identify them and make the most of this information, you can now view your linked equipment and your linked spare parts separately. In the case of spare parts, you can find out, for example, whether parts are available to carry out a repair. As for linked equipment, you can draw up a cause tree to understand the origin of any breakdown.

Checklist
As part of the improvements initiated in February 2023, the following new features are available in the checklists:
- Add a description to each checklist and each step to provide more information and specify the actions to be carried out.
- Preview your checklists while creating or modifying them, to see exactly how they will be presented to technicians.
- Organise your numerous checklists by labelling them and easily filter the list according to your needs.
Update your mobile application now by visiting the Play Store or App Store to take advantage of these new features.
Calendar
For most of our customers, the week starts on Monday rather than Sunday. We are therefore choosing to start the week on Monday for all our customers (currently Sunday).
Replacement of the current filters in the calendar by the proposed display for task filters to make our interface more uniform.
Scheduler
The scheduler calendar is now set to today's date.
Equipment and spare parts
When creating a piece of equipment or a spare part, visibility is now private by default.
Tasks
Maintenance plans, and therefore maintenance plan tasks, contain the following information:
- Planned maintenance time
- Planned downtime
This information is now also available for tasks outside maintenance plans.
Webhook
As soon as an activity is added to a task, the webhook sends you the details of the activity, as well as the name and id of the task and the equipment linked to this activity.
Other
Depending on your location(FR, US, BR...) displays the correct formatting for dates, numbers and currencies. Ex:

It is now possible to print the QR code of an equipment directly on the equipment sheet.

When you duplicate a task, the task date will no longer be duplicated. Now the date will have the same format as when you create a task from 0.

Webhooks
We are pleased to announce the arrival of new webhooks.
Here are the three new webhooks we have added:
- Consumption of a spare part: this webhook is triggered every time a spare part is consumed.
- Replenishment of a spare part: this webhook is triggered each time a spare part is replenished.
- Manual modification of the stock of a spare part: this webhook is triggered each time the stock of a spare part is modified manually.
We also took advantage of this update to add a security solution to the webhooks. A secret key is now integrated in each message to allow you to be sure of their origin.
Webhooks (available from the premium plan) are a powerful tool to automate tasks and integrate systems. They allow you to receive real-time data (in your applications) from Mobility Work to trigger automated actions.
System integration can help improve efficiency and productivity in your business, as well as reduce human error.
We encourage our users to use our webhooks and public API to integrate our application with their existing systems.

Checklists
In order to enrich the checklists, and bring you new features, we have evolved the checklists interface.
The interface is now simpler, allowing you to fill it in more quickly.
Other improvements will come soon, such as the possibility to label your checklists, or to preview checklists in creation mode.

Archiving of equipment and spare parts
It is now possible to archive equipments and spare parts.
Available from the premium plan onwards, this feature allows you to archive equipments and spare parts without deleting them and therefore keep their history, and you can reintegrate them into your database at any time.
All tasks assigned to this equipments or spare parts that are still in progress or future will be deleted. All maintenance plans will be archived. Links to other equipment or spare parts will also be removed.
In the filters, you can now access the option "include archived equipment or spare parts" in your search.
API
Creation of Labels
It is now possible to use the label code in the API to create tasks.
So you can use either the label ID or the code.
Creating tasks
From now on, tasks created via the public API can inherit labels from the equipment.
Mass cancellation of tasks
In the tasks tab, when you click on the "Change task status" button, the "Cancel" option has been added.
Clicking on this button will change the status of all displayed tasks as well as those matching your search to "Cancelled".

Add several participants when creating an activity
It is now possible to add several participants (administrators or technicians) when entering a new activity.
Available from the premium plan, this feature allows, when creating an activity, to add speakers, which will create as many activities as speakers.
This way, when several people are involved in an activity, only one person will be able to do the data entry for the others, which will save time for the team.
Associate links to tasks or maintenance plans
You can now add “link” type documents on tasks or maintenance plans (for networks with their new version) from the task page.
New explanatory notes
Explanatory notes have been added to facilitate the use of the application:
- explanatory note as long as a user has not accepted the invitation to join a network;
- explanatory note when hovering over the notification of assignment to a task;
- explanatory note when a user is deleted.
In addition, the price plan for your network is displayed in the navigation sidebar, and you can request an express quote by hovering over it and clicking on the corresponding icon.
Ergonomic and display improvements
It is now possible to cancel a mandatory step completed by mistake in the checklists, which will allow you to go back and avoid communication problems within a team.
In addition, the display of equipment names has been optimized: the equipment name now appears in full in the detailed task sheet.

Notification when a spare part falls below the “stock min” threshold
Premium and Ultimate plan administrators are now receiving a notification when the quantity of a spare part falls below the minimum stock level previously defined.
A shortcut will take you directly to the spare part’s page.
This new notification allows administrators to be informed in real time of parts to be restocked.

Display your equipment in 3D in Mobility Work thanks to BIM integration
Mobility Work now allows you to visualize your equipment in 3D in your CMMS application. The BIM (Building Information Modeling) integration in our application is the result of a joint partnership with RS Components, 1st horizon and Sitedesk.
Mobility Work becomes the only CMMS solution that integrates a BIM vision directly into its application, and RS Components is the only distributor to offer its customers such a wide range of solutions for maintenance through its RS iMaintenance ecosystem.

Sort your list of tags
Administrator profiles can now sort their tags by group, alphabetical or ID order, in ascending or descending order
In addition, it is now possible to edit the default tags.
Improved search
Possibility to download all your QR codes in a .zip file
It is now possible to download all the QR codes associated with the equipment of a network in image format (.png), grouped in a .zip folder, which allows you to choose your printing system.
All downloaded images have the same size. It is thus possible to choose between grouped or individual printing of the QR codes.
To do this, simply click on “Download” after clicking on the QR code pictogram in the Equipment menu or the search.
New “Apply filters” button in the search
The sorting of the search is no longer automatic: to apply the filters to your search, you must now click on “Apply filters”.
Improved task page (new version)
The interface of new maintenance plan tasks now allows to display the previous and next occurrences.
The task print button has also been improved.
It is now possible to view a task report from a notification without having to download it by clicking on the icon, which will open a new window.
Improved equipment page
The task listing in the equipment sheet has been improved, as well as the search. It is now possible to sort the tasks by both ascending and descending dates.

View the cost distribution in graphical form
The distribution of maintenance expenses can now be viewed in graphical form in the "Expenditure Analysis" tab of the Dashboard, by clicking on the following icon .

With this tool, you can now view your spare parts or labor expenses in two clicks. Simply go to your dashboard and click on the "Expense Analysis" tab.
The expenses are distributed, according to your choice, by cost center or by label group.
Moreover, you can filter your expenses by period, by equipment labels, by tasks, by concerned equipment or by cost center.

Once in the Dashboard menu, click on the "spare parts" tab to:

Over the last few weeks, our teams have been working on several topics:

Users who have declared that they must comply with the 21 CFR Part 11 standard have access to a button to request the export of the audit trail. Thanks to this button, we can contact you directly.

In the official catalogs, a new "brand" field is now visible on the products.

Administrators profiles have the possibility to add a photo on the steps of a checklist. When they complete it, users can then view them.

You now benefit from a new layout of the task search page!

This week, discover our new features!

It is now possible to create a task directly from a checklist.

Thanks to your feedback, we chose to develop a new feature: you can now print out the overview of your tasks by clicking on the "printer" icon next to the task.

We also improved the design of the equipment and spare parts search.

For security purposes, we have reinforced the security policy for passwords.

Our teams have been working on several topics over the last few days:
- the checklists have been improved to display all the text entered,
- the Supplier Catalogue menu is now available in the sidebar: find all the references of the suppliers registered in the CMMS,
- the search for equipment and spare parts is now separate. These are also accessible from the menu in the left sidebar of your application,
- administrator profiles benefit from a new option allowing them to enter the cost of labor on tasks: they can then see this data on the users of their network, on activities’ creation events and on the tasks of the calendar,
- the equipment search page has been redesigned, as the results now appear in table form.

We're back today with several new features, first on the web version of your CMMS:
- from now on, you can no longer edit a task that has been archived: an administrator has to unarchive it in order to make it editable again
- administrators have access to an equipment scheduler from the Calendar tab. This premium feature is available in preview!

A calendar on your equipment on the mobile app
You can now, from the mobile app, see the calendar of your equipment in their sheets to better visualize the scheduled tasks.

New task statuses on the web application
Thanks to these 5 statuses (planned, in progress, started late, late and finished), follow the evolution of your tasks more easily.

A new design of the top bar on the web app
Discover the new design of the top bar of your CMMS, which includes the possibility of hiding the menu on the left.

Standardization of icons on the web and mobile versions
For greater clarity and consistency, the icons are now the same whether you use CMMS on mobile or PC.

Improved activity export
Finally, in the export of activities, we have added a separator between each output part, so that you can better exploit the data.

Among this week's new features, you now have the possibility, on the web app:

to save the filters on the calendar and the scheduler,

to better filter spare parts by displaying only those to be restocked.
At the same time, it is no longer possible to add an activity to an archived task. Administrators are now the only ones who can unarchive a task.

Among this week's news and as we announced to Android users, a new "My calendar" menu is now available on the mobile app!
Thanks to it, you can view your activities on a calendar and get the total time spent on them.
On the newsfeed of the app (Android), labels can now be distinguished by color.
In parallel, our teams continued to work on the continuous improvement of your CMMS and on the resolution of minor bugs.

This week, our teams worked on the continuous improvement as well as the stabilization of your CMMS to make it more and more efficient.
In addition, as announced to Android users, the mobile application has been enriched with new features:
- a new design of the filter panel on the newsfeed
- a filter, in the task search, allowing you to sort them by increasing or decreasing scheduled date
- real-time chat, giving you the possibility to create groups

It's been a busy week for our technical teams!
Thus, from today, you can benefit from a new menu on PC (on the left). The Statistics menu has therefore disappeared but remains accessible from the dashboard (click on "Show old view"). The menu allowing you to change network has also been reorganized.
You will also find, among other new features :
- on your newsfeed, the last saved filter will be used by default
- the possibility to ask your supplier to send you documentation on a piece of equipment from its sheet
- access to a simplified task creation form from the home page
- the possibility to add colors on labels
- a QR code button in the search menu to easily display and print QR codes
- as of now, the price, location and external reference of the community's spare parts are hidden

This week's big news is the new design of the Equipment page!
It is now common to the Reports page (Equipment tab) to make it easier for you to access the equipment. A "Create" button has been added to the equipment search, and this page allows you to access all the filters to refine the results.
You can always display the old equipment list by clicking on "Show old view"

Since July and August 2019 on Mobility Work:

New menu, Task Status, added to the Dashboard, where data can be filtered by users, tags, date or cost centers;

Mobility Work is now available in Turkish and Portuguese;

Graphic redisign of the date filter;

Find the Official Catalogs in our CMMS, a new feature that connects maintenance professionals with suppliers and manufacturers of machines and consumables. Simply go into the Tasks or Reports tab, and at the right side of your screen you'll be able to access different products. Use the "Copy to my equipment" option, to duplicate a product to your fleet, and find all the technical documentation provided by the supplier.
Since June 2019 on Mobility Work:

New task creation page, which makes it easier to use the mandatory tags;

Improved the printing of your dashboard;

It is now possible to add a checklist to a maintenance plan!
