The Spare parts to be provided field lets you declare, on a task or a maintenance plan, the parts needed for the intervention and their quantity.
What you enter here doesn't only serve the person carrying out the intervention. These quantities feed the stockroom forecasts. It is the only source of those forecasts: a part that hasn't been declared anywhere will never appear in them, even if it is actually consumed.
A panel reminds you of this directly in the creation form of a task or maintenance plan, under the title Anticipate the parts needed for the intervention.
What the field triggers
Entering a part to be provided has three effects:
- The person in charge of the intervention knows exactly what to prepare.
- The stockroom sees in advance what needs to be prepared or ordered.
- A stock shortage is spotted before the intervention, not on the day itself.
⚠️ Nothing is withdrawn from stock at this stage. A part to be provided is an anticipation, not a stock movement. Stock is only moved on actual consumption.
When is the quantity counted?
The timing depends on where you fill in the field.
| Filled in on | Counted |
|---|---|
| A task | on the task's date |
| A maintenance plan | at each occurrence of the plan |
On a maintenance plan, a single entry therefore feeds all upcoming interventions, without having to repeat it.
Completed or cancelled tasks drop out of the calculation: they no longer consume forecast stock.
Viewing the result
The panel appears at the top of the Spare parts to be provided section, just above the list of parts — in the same place in a task form and in a maintenance plan form.
It contains a See the spare parts to be provided over 90 days link, which opens the forecasts over the next three months in a new tab: you check the effect of your entry without losing the form you're working on.
⚠️ This link only appears if you have access to the forecasts screen. The explanation itself is shown to all users who can fill in the field: a technician can therefore see the panel without seeing the link.
The panel collapses with Hide the explanation, and reopens with What are spare parts to be provided for?
Why it's important to fill it in
The quality of the stockroom forecasts depends entirely on this input. A field left empty produces no alert: the stockroom won't see the need coming, and the shortage will be discovered on the day of the intervention.
We recommend filling in this field systematically on preventive maintenance plans, whose needs are known in advance and repetitive.
