Track account activity - On October 8th, 2020
What is an audit trail?
An audit trail, or audit log, is a security-relevant chronological record, set of records, and/or destination and source of records that provide documentary evidence of the sequence of activities that have affected at any time a specific operation, procedure, or event.
The goals of applying this standard to maintenance and computer data management are to:
-
introduce an upward and downward IT traceability to facilitate the search for maintenance activity or information on machines or products;
-
stop using paper-based documents in order to reduce data entry errors, by means of a dematerialization and document management process;
-
computerize manufacturing and maintenance records, and manage document flows.
How does Mobility Work's audit trail work?
Security is one of the biggest considerations in everything we do. In addition to two-factor authentication and SSO or SAML login procedures, we now provide a full audit trail / account activity view. Audit trail is meant to track information regarding any activity happening on your network: which account, what activity and when it occurred.
How to read the information in your audit trail file?
- happenedAt - Date of the event/action (when did this action take place?)
- timezone - Network time zone (happenedAt is in UTC)
- ObjectID - Identifier of the object concerned (a maintenance plan, a task, an activity, etc.)
- action - details of the action taken (created, modified, deleted)
- object properties - Data related to the action (created = creation data, modification the modified data, etc.)
- network id - Network identifier
- user id - identifier of the user who performed the action
- user email - email of the user who took the action
- Signature - allows the integrity of the data to be validated
How to activate audit trail on my account?
Only Authorized Administrators can request an audit trail.
The list of Authorized Administrators shall be communicated by an administrator of your network to Mobility Work by email sent to your customer success manager.
As an administrator, Audit trail can be enabled on your account by subscribing to the Ultimate plan (see pricing here). The "Request Audit trail" button will be activated on demand for your network. You will find this button in your application, in the "Network"'s menu: https://app.mobility-work.com/network/licences.
Through this button, Authorized Administrators will be able to request the audit trail report over the desired period. After a maximum of 72 hours, the report in question will be sent to them by email. It will contain all the actions performed on the network, the user concerned and the time stamp.
A limit of 12-month logs can be generated at a time.
Audit trail records will be activated on the day of subscription to the adequate billing plan and will be saved by Mobility Work for 10 years in order for our customers to comply with audit requests. After 10 years, the records will be completely deleted from our systems and we will not be able to provide them anymore.
