What is an audit trail?
An audit trail, audit log, or audit journal is a systematic and chronological record related to cybersecurity, aimed at preserving actions, a set of records, and/or the source or destination of a collection of documents that provide documentary proof of the sequence of activities that may have affected an operation, procedure, or specific event at any given time. It records details such as the people who accessed the system, the operations they performed, when these activities occurred, and where they were initiated. Audit trails are essential tools for maintaining security, accountability, and ensuring that operations can be reviewed for compliance, anomalies, or potential violations.
The application of this procedure in the maintenance sector and in IT data management allows for:
- Implementing upstream and downstream IT traceability to facilitate the search for maintenance activities or information about machines or products;
- Eliminating the need for paper documents to reduce data entry errors through a process of dematerialization and document management;
- Digitizing histories related to manufacturing and maintenance and managing document flows.
How does the Mobility Work audit trail work?
We provide a complete audit trail procedure. The audit trail aims to track information about any action taking place on your network (affected account, nature, and time of the activity).
How to read the information in your audit trail file?
-
happenedAt
- Date of the event/action (when did this action happen?) -
timezone
- Timezone of the network (happenedAt is in UTC) -
ObjectID
- Identifier of the concerned object (a maintenance plan, a task, an activity, etc.) -
action
- Details of the performed action (created, modified, deleted) -
object properties
- Data related to the action (created = creation data, modified = modified data, etc.) -
network id
- Network identifier -
user id
- Identifier of the user who performed the action -
user email
- Email of the user who performed the action -
Signature

How to activate the audit trail on my account?
Only authorized administrators can request the activation of the audit trail.
The list of authorized administrators must be communicated via email to your Mobility Work account manager by an administrator of your network. The Request audit trail button will be enabled upon request for your network. You will find this button in your application, in the Network menu: https://app.mobility-work.com/network/licences.
Using this button, authorized administrators can request the audit trail report for the desired period. After a maximum of 72 hours, the report containing all actions performed on the network, the affected users, and the times of execution will be sent by email.
An audit history of up to 12 months can be generated at a time.
Audit trail records are activated on the day of subscribing to the appropriate plan and will be kept by Mobility Work for 10 years so that our clients can respond to audit requests. After 10 years, the records will be completely deleted from our systems, and we will no longer be able to provide them.
