Integrations with Mobility Work webhooks provide tight and efficient connectivity between your system and the Mobility Work platform. By using webhooks, you can automate the flow of information between the two systems, enabling real-time data synchronization.
Through these integrations, for example, you can receive instant notifications in your system when important updates are made in Mobility Work, such as the addition of new tasks (and all states the task goes through: activity addition, task closure, task start, etc.), the creation of new intervention reports (activities), stock outages, or any other event relevant to your operational process. To view the list of available webhooks, please click this link.
This allows you to react quickly to changes and maintain real-time visibility of your operations. On demand, Mobility Work webhook integrations contribute to better operational efficiency and more proactive management of your maintenance and asset management activities.
What are the most frequently implemented use cases by our customers?
- Synchronization of spare parts between ERP and Mobility Work via APIs and Webhooks
- Notification when a spare part goes below the minimum stock level
- Synchronization of intervention requests between production software and Mobility Work: whether on the production or maintenance side, both have the same level of information (“synchronization”) thanks to APIs and Webhooks.
Below, you will find specific instructions for activating the webhook that will notify you when a spare part goes below the minimum stock level.
How to Set Up the Webhook When a Spare Part Falls Below Minimum Stock Level?
This webhook allows you to receive email notifications when a spare part is below the minimum stock level.
Here is an example of such an email you may receive to notify you that your stock has fallen below the minimum threshold.
This is to give you control back by allowing you to easily create connections that meet your specific needs.
Setup Procedure
In this guide, we use Zapier. The steps would be the same for any webhook you configure. You also have the option to use any other no-code platform based on the trigger → action principle, such as Make.
To follow this guide, please ensure you:
- Create an account on Zapier
- Use an administrator Mobility Work account to add the webhook
- Have a Mobility Work Premium or On demand subscription
Steps in Zapier
Create a zap.
Click on Trigger to choose a webhook as a trigger.
Choose the Catch Hook event.
Go to the Test section and copy the webhook URL.
Steps in Mobility Work
Go to Mobility Work. In the network menu, click on Network Settings, then go to the Integrations page.
Add a new webhook.
You can choose any webhook from the list.
In the URL field, paste the webhook link you copied earlier in the Test section of Zapier.
In the Trigger field, choose When a spare part falls below minimum stock level (or another one based on your needs).
Save.
Testing the Integration
In Mobility Work, please find a spare part whose stock is above its minimum stock level.
Note: If you have selected a different webhook, you will need to create an example in the app that corresponds to the chosen webhook (e.g., for the webhook When a task is completed, you would need to complete a task).
There are several ways to adjust the stock of spare parts. In this example, we will modify it by updating the inventory.
To do this:
- Go to the detail page of the selected spare part.
- Click on the menu in the top-right and select Inventory.
- Modify the inventory by adjusting the quantity to a level below the minimum stock set.
When the stock quantity is modified, a trigger is sent to the webhook, which is then captured by your Zapier listener.
Go back to Zapier and click the Test button to see the details of the captured event.
If it does not work, please check the previous steps.
Email Integration in Zapier
Follow these steps:
- Go to your Zapier account.
- Add an action.
- Choose the event Send an email (in our case, it's the Gmail event).
- Connect your email account.
Once the account is connected, you need to set the recipient and sender email addresses.
You will also need to fill in other fields, such as the subject and body of the message. By clicking on these fields, data variables are offered to facilitate the integration of relevant data.
Webhook Notification Test
Once all the fields are correctly filled, click the button to test the notification sending.
The email should be sent to the indicated address with the content you configured.
Once you are satisfied with your setup, you can publish the zap so that it can be activated automatically the next time a part's quantity drops below the minimum stock level.
