Mobility Work provides a complete Purchase Orders module that centralizes the spare parts procurement process directly within your CMMS.
The Purchase Orders module allows you to create supplier orders, track deliveries, record receipts, and automatically update spare parts inventory.
Main features
With the Purchase Orders module, you can:
- Create purchase orders with spare parts, quantities, and unit prices
- Confirm orders before sending them to the supplier
- Track partial or complete deliveries
- Automatically update inventory upon receipt
- Export purchase orders as PDF files
- View the complete history of actions performed on each order
- Archive, cancel, and duplicate completed orders
- View purchase orders linked to a specific spare part
Purchase order lifecycle
Each purchase order follows a specific lifecycle:
- Draft being prepared
- Confirmed order ready to be received
- At least one receipt recorded
- Completed order
- Cancelled order
- Archived order
In addition to the main status, some calculated states may appear:
- Overdue: the expected delivery date has passed
- Partially received: part of the order lines have been received
- Fully received: all order lines have been received
Access rights management
The module is available only to network administrators.
Automatic inventory updates
When a receipt is recorded on a purchase order:
- Spare parts inventory is automatically increased
- The latest known purchase price of the part is updated
- Received quantities are tracked within the purchase order
Purchase order PDF export
Each purchase order can be exported as a PDF for:
- Sending to the supplier
- Printing
- Document archiving
- Administrative tracking
The PDF includes, among other things, order lines, addresses, supplier references, and additional costs.
Access from spare parts
From a spare part record, you can view all purchase orders containing that part in order to track its procurement history.
