A maintenance plan can be created from the maintenance plans search page or directly from the equipment for which you wish to create the plan.
Creating a maintenance plan involves three steps:
- Filling out general information,
- Scheduling, and
- Validation.
General Information
These details must be filled in before moving to the scheduling step.
- Equipment (required): Choose the equipment or spare part for which the maintenance plan is being created.
- Description (required): Define the description of the interventions that will be performed. Please click here to see how to format the description using markdown.
- Specify if the maintenance plan is regulatory.
- Assignees (required): This allows you to assign people or teams to a maintenance plan.
- Observers (optional): Users who need to be notified upon completion of each task in this maintenance plan.
- Labels (optional): Simplify task classification. Labels can be pre-defined to describe work orders, indicating information such as urgency levels, possibility of intervention without machine stoppage, etc. To learn more about using labels, click here.
- Planned Maintenance Time (optional): The scheduled duration for preventive or corrective maintenance tasks, minimizing production downtime.
- Planned Stopped Time (optional): Refers to periods during which equipment is intentionally stopped for maintenance, inspections, or repairs.
- Spare Parts to Provide (optional): Helps plan the intervention effectively by anticipating required parts.
- Checklist (optional): Represents check points or procedures to follow during the intervention.
Planning
Trigger
With the counter-based trigger, a maintenance task is automatically generated when a meter reading exceeds the defined threshold.
Cycle
You need to define the maintenance cycle.
It is necessary to choose:
- the measure — only numeric-type counters will be listed
- and the threshold — each time the counter value exceeds the specified threshold, a task will be generated.

Estimated Duration of Each Task
The estimated duration of tasks can be set in days, hours, or minutes.
Conditions for Considering Counter Readings
Counters can be recorded from an activity, a checklist, or directly from the equipment page.
For a counter-based maintenance plan to generate a task, two conditions must be strictly met:
- The equipment from which the reading is taken (via an activity, a checklist, or the equipment page) must match exactly the equipment defined in the maintenance plan.
- The counter recorded must be the same as the one configured in the maintenance plan to trigger task creation.
This rule applies regardless of the entry point of the reading (task, checklist, or equipment).
If the equipment or counter does not match, exceeding the threshold will not be considered and no task will be generated.
Before saving the plan, the system displays a preview of task generation based on existing readings and the configured threshold. This allows the administrator to verify that thresholds and task creation frequency are correctly defined.
Validation
Once all parameters are chosen, you can proceed to the validation step. This consists of checking that the schedule and information are correctly filled in, and that the plan can be created.
If everything is correct, simply click the button to create the plan at the bottom of the page. A confirmation message will appear.
Key Elements of the Maintenance Plan
Once created, the maintenance plan is displayed with the following information:

Cycle
Each time the selected meter reaches the defined value (threshold), a new task is automatically created to ensure proper follow-up.

Next threshold
Displays the meter value that must be reached to trigger the creation of a new task.

Last trigger measurement
The most recent reading is visible in the plan details.
By clicking on this value, you are redirected to the Dashboard, Counter section, where the reading details can be consulted.

Next occurrence
Corresponds to the task to be processed in the plan.
If this task has already been completed, this section does not appear until the next threshold is reached (and a new task is consequently created).

Task List
The link below the due date allows you to view only the task list for this plan.

History
Each time a task is triggered by the plan, the History section, located on the right-hand side, allows you to view:
- The user who recorded the reading
- The ID of the created task
- The meter, with the recorded value and the reading date
- The reached threshold (crossed out) and the next threshold
