How to modify the plan information?
You can modify all fields marked with a pen icon or the + button.
It is important to note that any modifications made to a maintenance plan will apply to future tasks that are not yet completed.
Fields that can be modified:
- Description
- Frequency
- Assignees (people and teams)
- Tags
- Observers
- Checklist
- Spare parts to provide
- Documents
- Information about whether the plan is regulatory or not
- Planned maintenance time
- Planned stopped time
It is not possible to modify:
- The date of the next due task unless it's done through changing the periodicity or through the task itself
- Equipment
- Cost center
- Trigger
How to modify the scheduling of a maintenance plan?
When you open a maintenance plan page, the frequency and the date of the next task will be displayed. Modifying the frequency is only possible if the task is scheduled for a future date. If the task is overdue (scheduled in the past) or for the same day, the plan cannot be rescheduled.
If you change the frequency (i.e., the planning) of a maintenance plan, it will affect the dates of future tasks.
Clicking on the pen icon next to the periodicity will open a modal with the following information:
For example, if we decide to change the start date of the plan to 31/12/2024, tasks scheduled before this date (more precisely, between 27/12 and 31/12) would be deleted. A confirmation message will appear.
Here is the result of this change on the plan.
The next task is now scheduled for 01/01/2025, which is the first available day according to our frequency schedule (every Monday and Wednesday) starting from 27/12/2024.
As for modifying the scheduling of a maintenance plan upon task closure, once the active task is completed, the next tasks will be affected by this new schedule.
What is the difference between modifying the plannng of a plan and its next task?
As mentioned earlier, when the periodicity of a maintenance plan is modified, it triggers a recalculation of the scheduling parameters. Depending on the modifications made, the date and spacing between future tasks will be adjusted. Some tasks may be deleted.
In contrast, modifying the next due date (task) does not affect the spacing or dates of other tasks in the plan. In this case, it is simply a rescheduling of a task, not a modification of the maintenance plan as a whole.
For reference, (see this article), it is possible to modify the scheduled date of a task as long as it does not exceed the scheduled date of the next or previous task.
To illustrate, let’s imagine a maintenance plan with the next task due on 10/11/2024, and a frequency set to every five days. In this case, it is possible to move this task to a date between 06/11 and 14/11.
