The "Expenditure analysis" menu of the Dashboard shows what your maintenance costs: labor, spare parts and additional costs entered in activities. For example, you can find out how much a piece of equipment or a cost center costs you over a period.
The menu has two tabs: "Cost center", which breaks expenses down by cost center, and "Tag group", which breaks expenses down by tag of a tag group.
How expenses are calculated
- Labor is the time spent on each activity multiplied by the hourly rate of the user who carried it out. A user without an hourly rate counts as 0: see How can I assign an hourly rate to the users in my network?.
- Spare parts are the quantities used in activities multiplied by the current unit price of each part. A part without a unit price counts as 0.
- Additional costs are the amounts added in activities.
- The total adds up these three items. Amounts are shown per currency, without conversion between currencies.
⚠️ In this menu, the period is based on the date the activities were carried out, not on the scheduled date of the tasks as in Task Analysis. It is therefore normal for the two menus not to show the same tasks for the same period.
Filter the expenses
Click "Display more filters" to refine the results.
- You can choose the period in which the activities were carried out.
- You can filter by equipment tags and by task tags, choosing whether items must have all the selected tags or at least one of them.
- You can filter by equipment and by cost center.
- In the "Tag group" tab, you also choose the tag group to analyze.
"Cost center" tab
At the top of the tab, cards show the total labor, spare parts and additional cost expenses, as well as the overall total. Below, you will find the detail of these expenses for each cost center, as a table or a pie chart.
Each amount is compared with the previous period of the same length: the value of the previous period is shown in gray, in brackets, next to the amount for the selected period.
"Tag group" tab
Choose a tag group in the filters. You will find the same total cards, then the detail of expenses for each tag of the selected group. A task with two tags from the same group is counted under each of these tags.
Print or save as PDF
This menu does not offer an Excel export. Click "Print" to print the page or save it as a PDF: see How do I export my Dashboard?.
Good to know
- Only administrators see the "Expenditure analysis" menu; technicians have access to the other Dashboard menus.
- If the unit price of a part is changed, the expenses for parts already used are recalculated with the new price.
- A deleted activity is no longer counted in the expenses.
