A checklist is a verification list designed to ensure that all steps of a procedure are followed and no details are overlooked.
Checklists work on a template system. Templates cannot be created via the mobile app, only in the web app through the Checklists menu. Once a template is created, it can be used on tasks.
How to create a checklist template?
To create a checklist, follow these steps:
- Click on the Checklists tab in the menu on the left side of the screen.
- Select the Create a new checklist button.
- Enter the information:
- Unique name for the checklist (mandatory)
- Checklist description (optional)
- Tags (optional)
How to create headers?
Next, you can start adding headers and steps. Headers are a feature that allows you to separate steps by theme to make it easier for your teams to understand and process. You can choose different colors for the header, which helps with visualization.
How to create steps?
To add a step, click the corresponding button.
You will then need to:
- Fill in the step name (mandatory)
- Fill in the step description (optional)
- Choose the type of step: select between Validation, Text, or Counter.
- Specify whether this step is mandatory to proceed to the next one. Note that, for validation steps, the response must be positive (thumbs up) for the next step to be completed.
Then, you can add another step or header, or save the checklist if everything is ready.
If you choose the Counter type, you will need to select which counter will be measured in this step.
How to add an image to a checklist step?
If you have a Premium or On demand plan, you can add an image to each step. This will help your team better understand the actions to be taken.
How to preview the checklist?
Once you've created your checklist template, you can check how it will appear to users who need to complete it.
Simply click on the Preview button located at the top right of the template, or from the ... menu next to the checklist in the checklist menu.
The three types of steps will appear as follows:
Validation
Text
Counter
How to modify a checklist template?
Once the checklist template is created and saved, it can be modified. The option is available in the dropdown menu next to the ... button from the checklist page, or from the checklist template page once it's opened.
It’s important to note that modifying a checklist template will not automatically update the checklists associated with tasks. You must remove and reassign the checklist in the tasks to benefit from the changes made.
How to duplicate a checklist template?
The option is available from the ... button next to the checklist in the checklist list.
When you click the Duplicate button, a new template is automatically created, and it takes all the elements from the original template. The name indicates that it is a duplicate, and you can change it as well as any other aspects that differ from the original template.
